🛡️ Data Integrity Policy

At EMCE, we understand that your evaluations and documentation are mission-critical.

This page explains how EMCE protects your data, how file attachments are meant to be used, and how you can help ensure records save and sync properly.

For institutional compliance or audit documentation (e.g., SOC 2 Type II), please visit our Trust Center or contact our support team for access.

Data Protection at EMCE

EMCE runs on Google Cloud Platform (GCP) and is built for high reliability and data durability.

Our databases and file storage are backed up automatically and protected by Google Cloud’s regional redundancy.

Database protection
  • Daily backups (7-day retention)
  • Weekly backups (98-day retention)
  • Point-in-time recovery (restore to any minute within 7 days)
  • Long-term exports retained for up to 7 years in secure Cloud Storage
  • Backup restoration is tested regularly as part of EMCE’s SOC 2 compliance program
File protection
  • Files are stored in Google Cloud Storage (GCS)
  • 7-day “soft delete” retention – deleted files can be restored during this window
  • Cross-bucket replication between independent storage locations
  • GCS is designed for 99.999999999% (11 nines) annual durability

For U.S. users, data is stored in Google’s multi-region environment. For Canadian users, data stays within Canada in the Montréal region.

How File Attachments Should Be Used

File attachments are meant for supporting documentation that can’t be captured directly in the evaluation form, such as:

  • ECG waveforms
  • Diagnostic images or device outputs
  • Scanned certifications or signed documents (not other evaluation forms)

⚠️ Avoid double-documentation

Uploading paper copies of evaluations already completed in EMCE does not improve data security and may create confusion or record discrepancies.

EMCE’s digital evaluation record is the authoritative source of truth.

Interdependence of Evaluations and Attachments

Attachments in EMCE are linked directly to the evaluation record they belong to — they do not exist as independent files.

If an evaluation isn’t saved successfully (for example, due to poor connectivity), any attached files from that session may become “orphaned.”

These files technically exist in storage but cannot be linked back to a student or evaluation, making them unusable for audit or record-keeping.

To prevent this:

  • Make sure the evaluation shows a saved or submitted status before closing.
  • Keep a stable Internet connection, or follow our guidelines for offline use.
  • Allow the “sync” indicator to finish before closing the app.

EMCE automatically synchronizes data whenever connectivity is restored.

User Data Exports

You can download your own data at any time.

Evaluation Exports

From the Reports screen, you can export all or a subset of evaluations as an Excel workbook (available on laptops and desktops).

Schedule Exports

From the Schedule screen or Attendance Report, you can export your schedule and attendance data in Excel or PDF format.

These exports let you keep personal or institutional copies for your own records without duplicating work inside EMCE.

Shared Responsibility for Data Reliability

EMCE’s systems are built to exceed industry standards for reliability, but maintaining data integrity is a shared effort.

Factors outside EMCE’s control — such as local device issues, unstable Wi-Fi, or institutional firewalls — can affect how data transmits or displays.

You can help by:

EMCE continuously monitors platform performance and automatically retries failed syncs whenever possible.

Best-Efforts Commitment

EMCE operates on a best-efforts basis.

Our small, dedicated team works hard to deliver a secure and reliable experience, but no technology can be perfect or completely uninterrupted.

When issues occur, we act quickly to identify the cause, minimize impact, and prevent recurrence.

All users agree to this best-efforts standard as part of EMCE’s Terms of Service.

Institutions and auditors who require formal documentation (such as backup schedules, control testing, or SOC 2 evidence) may request access to our Trust Center, where EMCE’s full security and compliance policies are available under NDA.
